On the employee settings screen, the employee's basic data is registered. Various operations such as sending e-mail, resignation processing, and proxy login to the employee screen (time card) are also performed here.

What you can do on the employee settings screen
I will explain what you can do in Settings > Employees > Employee Settings.
※This operation is only possible by a full authority administrator or a general administrator with "employee setting" authority "◯ View/editing".
|Specifying the display conditions||You can narrow down the number of employees by selecting the display conditions such as division and employee type and clicking [View].|
|New registration||Register a new employee.|
|Display order setting||※It will be displayed when only one division is selected and displayed.
If you are in the same division, you can set the display order of employees arbitrarily.
|Return of deleted employees||※You also need more than "△ view only" permissions for "Options".
Displays a list of deleted employees. You can cancel the deletion by clicking "Reinstate Employee".
|Send an email||※It will be displayed when only one division is selected and displayed.
Send an email to multiple employees. You can send your My recorder URL, login information to the employee screen (time card), and password from here.
This function is for transmission only. Even if an employee replies to the source address (email@example.com), it cannot be confirmed.
Each employee can do the following:
|Editing||Edit the existing employee data.|
|Unit price||* It is displayed when using the "Labor cost estimate output function".
Set the unit price of each employee. The same item is also in "Employee Type Settings", but the information on employee settings takes precedence.
|Automatic schedule by employee||※In order to use this function, you need to set up internal settings at the support center.
We will set up an automatic schedule for each employee.
|Send a time recorder URL||Send the My Recorder URL. When sending multiple employee URLs at once, please use the above [Send Email].|
|Delete||Delete the employee data that you are not using. Deleted employee data will no longer be displayed on the work data confirmation screen.
※If the deleted employee has stamped data, it will be subject to billing.
※If you delete an employee, the credentials will also be deleted.
Please use the deletion in case of employee registration mistakes. For resigned employees, please click [Edit], expand the details of the "Basic Information" category, and enter "Retirement Date".
You can cancel the deletion from [Reinstate Employees].
|Sign in||※It will be displayed only by the master administrator.
You can log in to the employee screen (time card) on your behalf.
How to register an employee
Click [New] or [Edit] to open the registration screen. After entering the information, click "Register" and save the settings.
Click "Details" in the upper right corner of the category to expand the detail item.
|Employee code||Enter the code to identify the employee in 3 to 10 half-width alphanumeric characters.
*Codes that overlap with other employees cannot be set.
※It will be a part of the "login ID" to log in to the employee page.
|Name/Last name||Enter the employee's name within 40 characters.||The basics|
|Name/Last name (phonetics)||Enter the name's phonetics within 40 characters. This item is not displayed on the work data confirmation screen, but it can be output from the export menu.||The basics|
|Middle name||*Option > Display Settings Category > Display format, it will be displayed when you select the middle name display.
Enter your middle name within 100 characters. It will be reflected in all the places where the employee's name is displayed, such as the attendance data confirmation screen.
|Email address||Enter your email address. The email address will be used for the following purposes:
|Passwords||Set the password. The setting rules follow "Password Policy Settings". The employee's password will be used in the following situations.
It will be displayed when you register. Enter the temporary password you want to set for the employee. If you register a new employee without setting this item, the employee code will be set as a temporary password.
※The temporary password will be changed to this password by the employee himself when he or she logs in for the first time.
[Change password] and [Reset password]
It will be displayed when editing the existing data. You can reset your password (click here for details).
"Allow password stamping on the time recorder (PC connection)"
If you set "Allow", you can type by entering a password instead of finger information or IC information. What to do when you can't read biometrics or forget your IC card.
|Gender||We will set up a man and a woman. It is not used for attendance management. This item can be output from the export menu.||Details|
Date of birth
|Enter the employee's date of birth. It is not used for attendance management. This item can be output from the export menu.||Details|
|Division||Select the employee's division.
[Change of division and history]
This is the button displayed when editing existing data. We will check the transfer of the division and the transfer history.
|Employee Type||Select the employee type to which the employee belongs.
[Change of employee type and history]
This is the button displayed when editing existing data. We will change the employee type and check the change history.
|Employee Group||*It is displayed when using the employee group function.
Register an employee group.
|Hired date||Enter the date of joining the employee.
You can't record any time attendances before the date of joining the company. Also, the employee can't log in to the employee screen (time card).
When using the paid leave grant function, it is used to calculate the grant date and length of service.
|Resignation||Enter if the employee is planning to retire or has retired/ resigned.
After retirement date, it will not be displayed on the aggregation screen such as "day data" or "monthly data", but the work data during your tenure will be retained.
You will not be able to mark from the time record after the date of retirement. Also, you will not be able to log in to the employee screen (time card).
|Daily contract work hours||It is a required item when taking an hourly vacation. The same item is true for "Employee Settings", but the information on employee settings takes precedence.
In the case of vacation acquisition method "vacation pattern use", it is also used when counting working hours only when taking paid leave.
|Wk. contract work (days)||※It will be displayed when "Employee paid vacation grant function" is set to "Apply".
Enter the number of contracted working days of the employee's week. This item is not referred to as "Regular working days per week" in the "Paid vacation grant function".
|Discretionary Overtime of the Month||If you have introduced a monthly overtime system, set the number of overtime hours. You can use the "Custom Data Item Settings" function to calculate overtime hours - no overtime hours only for the month.||Details|
|Standard working hours of variable work (monthly)||※If using the labor cost estimate setting function, it is displayed when you select "Manual setting (flex and others)" in the Settings > Employee > Employee Type Settings > "Work Style" category > "Variable Working Hours Setting".
You can set the reference time for monthly variable work by employee. The same item is also in "Employee Type Settings", but the information on employee settings takes precedence.
|Standard working hours of variable work (weekly)||※It using the labor cost estimate function, it is displayed when you select "Manual setting (flex and others)" in the Settings > Employee > Employee Type Settings > "Work Style" category > "Variable Working Hours Setting".
You can set the base time for weekly deformed work by employee. The same item is also in "Employee Type Settings", but the information on employee settings takes precedence.
|Paid leave grant||※It will be displayed when the paid leave grant function is used and the "Employee paid leave grant setting function" is turned on in the support center.
Set the timing of granting days and days to grant days. [ Click "Related Settings for Granting paid leave" and you will be redirected to the setting screen for granting paid leave (click here for details).
|Other employee management code 1,2||You can enter any code in less than 50 characters. This item can be output from the export menu. It is not used for attendance calculation.||Details|
Time recorder info
|Personal Time Recorder button||※It is displayed when using My Recorder or Mobile Browser.
If "Display" is set, you will be able to transition from the employee screen (time card) to the time recorder screen. Depending on your time recorder, either "My Recorder" or "Mobile Browser Engraved" will be displayed in the Employee screen > menu.
|Division available for Time record||
In principle, the employee can time record in their current division, they cannot time record in other divisions
|(Certification method) Registration status||(Authentication method) includes authentication methods such as hybrid, finger vein, fingerprint, and IC.
The registration status of the employee's credentials will be displayed. If the credentials are not registered, you can't record attendances with that type of time recorder. Please start the time recorder and register your credentials from [Register].
Click [(Authentication method) Delete Registration] to delete the authentication information. Please use it when you want to re-register your credentials.
