The "Paid leave grant function" is a feature that automatically calculates and notifies the grant date and the number of paid leaves.
On the grant date, "Entitled for paid leave" will be displayed in "Attention" on the home screen of the Admin screen. The Entitled for Paid leave screen is shown by clicking on the item.
The screen shows the grant date, number of leaves granted and the criteria for calculating the number or days.
An alert will be displayed for paid holidays that occur on or after the next day on the day when all the presets related to the "paid leave grant function" described below are made.
Please note that you cannot grant leaves back in time.
To go back in time to grant paid holidays, please do so manually.
If your company's regulation on paid leaves does not fit the system's specification, we recommend that you do not use this feature. Instead, we suggest granting leaves manually.

On the home screen, select "Settings"> Others> Options> "Schedule Settings" category, and confirm that "Paid leave grant function" is set to "Use".

On the home screen, "Settings"> Employees> In the employee type settings, click [Edit]> "Leave-related" category> "Paid leave grant" and then click to open the "[Paid leave related settings]," screen.

How to calculate the number of days granted
"○ days" …… Refer to the specified number of working days per week and the number of days granted from the corresponding proportional grant days table (* 1) Is determined. Attendance rate is 80% (* 2) Is exceeded as a condition of grant. If this condition is not met, the number of days granted will be calculated as 0 days.
* 1 If the "fixed number of working days per year" in the proportional grant days table is 0 days, even if the attendance rate is less than 80%, it will be included in the scope of paid holidays. Please be careful.
* 2 If you have set the number of years of service for granting annual paid leave, the condition for granting is that the attendance rate has exceeded the set rate.
* 3 If the " Employee-specific paid leave setting function " is "Not applied", the item "Contracted working days per week" is displayed on the "Employment information"> [Details] tab of "Employee settings". However, this item is not referred to as the "prescribed number of working days per week" in the "paid leave grant function".
“Calculate the number of scheduled working days per week based on the number of working days per year and all working days” …… According to the number of scheduled working days per year for each employee, paid leave will be granted assuming the number of scheduled working days per week (attendance rate is not referred to). It is recommended to use it when the prescribed number of working days per week is not set and cannot be set for each employee.
For example, in the proportional grant days setting in the table below, if an employee with 6.5 years of service works 200 days a year, the "prescribed number of working days per year" is assumed to be 4 days and the "prescribed number of working days per week" is assumed to be granted. The number of days is calculated as 15 days (because 200 working days corresponds to the standard of 169 days or more and less than 217 days).

Setting the first grant date
Set the first grant date.
"From the date of joining the company ○(a ) The first grant date will be given after a month, and it will be the first grant date every year. ” …… Set the first grant date for paid holidays.

"□ Divided grant: ○ ( b ) months after joining the company, ○ days" …… Grant some days before the first grant (Example: 5 days at the time of joining the company, 5 days at the time of the first grant G) Set when. " B " can only be set to months less than " a ".
"□ Based on the split grant date" …… Check if the split grant date set in "Split grant: ○ (b) months after joining the company ○ (b) months later ○ day grant" is set as the second and subsequent paid holiday grant date.
Set the second and subsequent grant dates
“None” …… Select this if the second and subsequent grant dates are the same as the first grant date.
"Unify the grant dates to XX days" …… If the second and subsequent grant dates are different from the first grant date, set here.
“□ Determine the first half and the second half based on the grant date ” …… Divide the year into the first half and the second half based on the date set in “Unify the grant date on XX days”. For example, if you set "Unify the grant date to April 1st", it will be from April 1st to September 30th in the first half and from October 1st to March 31st in the second half. The second and subsequent grant dates for employees who joined the company during the first half of the year are 10/1, and the second and subsequent grant dates for employees who joined the company during the second half of the year are 4/1.
"□ Priority is given to the second base date" …… The date set to "Unify the grant date to XX days" will be the grant date after the first time . However, if the hire date is 6/1 and the hire date is past the grant date, such as the setting of "Unify the grant date to May 1", the first grant date will be "1st reference date". It is based on the setting of the first grant date.
Set the number of days granted
The number of working days per week x the number of days granted according to the number of years of service. The initial value is the recommended statutory standard, but please edit it according to your company's employment rules.
Set the calculation target of the commuting rate
It is used to calculate the commuting rate (number of working days ÷ total number of working days x 100). You can select each vacation, such as "Weekday work", "Legal time off", and "Non-legal time off".
When using the "employee-specific paid leave setting function" ...
A radio button / check box that says "Follow employee type settings" is displayed on the "Paid leave-related settings" screen that can be set for each individual employee from "Employee settings".
If this is selected, the settings in "Employee type settings" will be applied.
If you want to set it individually, select another option or uncheck it and set it individually.
On the home screen, enter "Settings"> Employees> Employee Settings> [Edit]> "Hired date".
*Please note: If the hired date is unspecified, the system cannot grant leaves to the employee.
Approve automatically calculated paid leave
An administrator who has "view/edit" permission for "employee settings" can perform the following operations.
1. If an employee is eligible for paid leave based on the granting criteria, "◯ Number of employees eligible" will be displayed in the home screen, under "Attention". Clicking on the item will show the list of employees entitled for paid leave. You can also access from [All menus ＞ leave management ＞"Employees entitled to Leave" tab].
2. Confirm the granted date and number of leaves entitled. The system automatically calculates the number of days granted, but you can also grant leaves to each employee manually.
3. Select "Grant All" and click [Grant paid leave]. Click Apply on the next screen.

You can register and edit settings related to paid leave for each employment type.

You can register and edit the settings related to paid leave for each employee. This setting has priority over [Paid leave entitlement setting].
Description for each item
Last grant date
|The date of joining the company is displayed until the first grant is made, and the previous grant date is displayed after that. The date is calculated from the paid leave grant-related settings and the date of joining the company, not from the actual grant record.|
|Grant method||The grant method selected by the paid holiday grant related settings is displayed.
It can be either "Based on hire date" or "Based on grant date".
Selection method for Paid leave (days)
|The method for selecting the number of vacation days selected according to the setting criteria is displayed.
Either "contract days" or "working days".
|Weekly contract days||The following contents are displayed depending on the selection method for Paid leave grant days
For "Contract days": Displays the set number of working days per week. If the number of working days per week has not been set, the cell will be displayed in yellow.
In the case of "working days": Paid leave related settings> Calculates the number of contracted working days for the week that meets the "prescribed number of working days per year" of the proportional grant days and displays it with (). If the number of scheduled working days per week is 0, it will be displayed in yellow.
Within the term
|Displays the number of days within the standard period for granting leave.|
Total work (days)
|Of the number of days within the period, the number of days specified as "All working days" in the paid leave grant related settings is displayed.|
|Workdays||Of the number of days within the period, the number of days specified as "working days" in the paid leave grant related settings is displayed.|
|Attendance (%)||Displayed as workday total / days worked = attendance rate.
If the attendance rate does not reach 80%, it is shown in yellow.

Setting the number of years of service for granting annual paid leave
You can customize the commuting rate (80%), which is the standard for granting, and the length of service portion of the proportional granting days to your own rules.
1. "Settings"> Others> Options> Paid vacation grant function in the "Schedule settings" category> Check "Customize service years"> Click [Service years settings].
2. Click [New Registration].
3. Enter the information referring to the following and click [Register].
Tenure : The name displayed in the proportional grant days table. It is recommended to set the "year of service" to a name that is easy to understand.
Service years : Set the number of years of service that matches the grant timing.
Grant Leave According to Attendance Rate: If you want to change the commuting rate standard from 80%, check "Use" and set the commuting rate that will be the standard for commuting.
If you register even one "years of service for annual paid leave", the existing proportional grant days table will be reset instead of being added to the existing proportional grant days table.
(When only one "years of service for annual paid leave" is registered)
When registering "years of service for granting annual paid leave", please register for all years of service.
* If an employee has worked for more than the longest service year, the number of days granted will not increase beyond the longest service year.
Example) If the maximum length of service is 7.5 years and the number of days granted is 22 days as shown in the above figure, the number of days granted is 22 days even after 8.5 years have passed.
