Is there a feature for wage setting?

There is an additional feature that automatically calculates an employee’s wage according to the premium pay rate for overtime and late-night work (setting required in advance) by simply entering the labor cost for each employee.

You can set the premium pay rate for each employee type. This article explains the following two methods to achieve that.

 

Requirements

Please check if the following setting is enabled.

 

Settings > Others > Option > Attendance management settings > Labor cost estimate output function: Apply

 

Set pay rate at the admin screen

Follow the steps below to perform settings at the admin screen. There are two steps: Specifying the premium rate and then the basic wage.

 

1. Setting the bonus rate

First, set a premium/bonus rate for each employee type. Please open the following screen.

 

(1) Click Settings > Employees > Employee type settings > Employee Type [Wage]>Wage increase rate settings.

 

When calculating daily wage, the system handles [Daily wage (weekdays)] as the basic wage. When calculating hourly wage, [Fixed] hours are handled as basic wage. In this screen, you can set the increase rate (bonus wage rate, premium rate) for items other than the basic wage. (In the Bonus wage rate settings screen, [Daily wage (weekdays)] and [Fixed] are disabled because the system handles them as the basic wage.

For day‐rate system users

For each item of the weekday daily wage increase rate, set the increase rate (While doing so, consider the weekday daily wage as 1.00 times).

 

Example) Legal holiday daily wage: 1.35 Non-legal holiday daily wage: 1.2Example: Daily wage on statutory holiday= 1.35, Daily wage on non-statutory holiday=1.25

If you set the increase rate above and set a basic wage of 9,500 yen for the weekday daily wage, the result will be as follows.: legal holiday daily wage: 12,825 yen, non-legal holiday daily wage: 11,875 yen.

 

For hourly-wage system users

Set the increase rate for each item of the hourly wage setting. While doing so, consider the weekday daily wage as 1.00 times.

 

Example: Extra hours=1.00, Overtime=1.25, Late night=1.25, Late night overtime=1.50

If you set the increase rate above and set a basic wage of 958 yen for the weekday daily wage, the result will be as follows.: legal holiday daily wage: 958 yen, non-legal holiday daily wage: 1,437 yen.

Decimals are rounded to the nearest whole number.

 

After entering the rates, click [Registration].

(* Note: Settings are not saved unless you click the [Registration] button.)

After that, go to [Work rate settings] and click [Registration].

2. Setting the basic wage

Next, perform the basic wage setting for an individual. Please open the following screen.

 

1. Settings > Employee > Employee type settings > Others column > [Wage]

 

2. After entering the Daily wage (weekdays) or Fixed under Hourly wage, which act as the basic wage, click on the [Daily bonus wage rate settings] or [Hourly bonus wage rate settings] on the right side of the screen. The system automatically sets the wages for each items based on the increase rate specified above (See “1. Setting the increase rate”).

 

Click [Registration] to save the settings.

Set pay rate by importing CSV file

You can achieve the same result with CSV import.

 

Setting the bonus rate by data import

1. Download the template for importing the bonus rate at the following screen.

 

All menu > Export/Import > Input data (Import) > [Wage data[CSV]].

 

2. Select the [Bonus rate master registration] of Bonus wage rate and click [Import].

 

3. In the next screen, click [Download template] to download a CSV file.

4. Create the bonus rate data according to the template you downloaded and save it in CSV format.

 

To create CSV data

If you have exported the data in Excel format, please be sure to select all cells and adjust the text from the Formatting Cells.

The items may vary depending on the features you are using.

Example: For a 25% premium, enter "1.25”. For a 50% premium, enter "1.5". Enter “1” if the premium rate is the same as the basic wage. Leave this field blank if you are not specifying the unit price.

 

 5. Import the CSV file at the following screen.

 

All menu > Export/Import > Input data (Import) > [Wage data[CSV]].

 

Select the [Bonus rate master registration] of Bonus wage rate and click [Import]. Select the CSV file you created from the [Select file] button and click [Upload].

 

6. Confirm the details at the confirmation screen and click [Registration].

 

7. When the “import complete” message shows on the upper left corner of the screen, the import is complete.

 

To import basic wage data

You can import the standard wage (hourly or daily wage) csv data in bulk for each employee. By following the procedure below, the basic wage will be automatically registered according to the specified bonus rate master data.

 

1. Download the template for importing the wage data at the following screen.

 

All menu > Export/Import > Input data (Import) > [Wage data[CSV]].

 

2. Select [Daily wage standard unit cost (weekdays), hourly wage standard unit cost] and click [Import].

 

3. In the next screen, click [Download template] to download a CSV file.

 

4. Create the bonus rate data according to the template you downloaded and save it in CSV format.

 

To create CSV data

If you have exported the data in Excel format, please be sure to select all cells and adjust the text from the Formatting Cells.

5. Import the CSV file at the following screen.

Select the CSV file you created from the [Select file] button and click [Upload].

 

6. Confirm the details at the confirmation screen and click [Registration].

 

7. When the “import complete” message shows on the upper left corner of the screen, the import is complete.

This function is a rough estimate of labor costs, so please use it only as a guide. For detailed calculation down to decimal points, please use a payroll calculation software.
