What is the "Variable Working Hours Setting Feature"?

It is a function to set excess monthly or weekly standard time and as overtime. You can also set the base time for the month and week at the same time.

 

<Example>

  • If you work 171 hours 15 minutes or more a month, treat the excess as overtime
  • If you work more than 40 hours a week, treat the excess as overtime

 

* Employee type setting> “Weekly overtime total ” and "Variable Working Hours setting function” cannot be used together. If you set "Criterion time" while "Weekly overtime total" is set , the "Weekly overtime total settings will be automatically removed. Please be careful.

 

Setting up

The setting procedure is explained below. Settings are made in "Options" and "Employment classification settings" .

 

Option settings

To switch on the variable working hour settings function please check the box. Settings > Other > Options > "Attendance Management Settings" category > "Variable working hour settings function".

 

This will add the option "Modified working hours system" to Settings> Employment classification settings> " Working style" category> "Working hours" .

Also, if you check the "Variable working hours" option, the following will be displayed.

  • When you have set up variable working hours in a monthly basis: A "criterion time" display field is added to the monthly data.

  • When weekly variable work hour is set up: The option "Standard" is added to the time card screen.

Employee type setting

Then set the base time for each month or week. Settings > Employment classification settings > “ Working style” category > Select “Working hours: Manual settings (flex and others)” > Click [Modified labor settings] and enter the following to register.

Select "Weekly", "Monthly", or "Yearly".
(If you select "Yearly", the recommended settings for "Common" and "Weekly" are automatically set. Also, "Yearly" and "Monthly" cannot be used together.)


When "Use only standard time" is checked, the monthly standard time is displayed on the monthly data screen as a guide, but it is no longer used as the standard time for overtime work.

Applicable items Set the working hours that are subject to affect work. Compare the total time of the selected item for one week or one month with the criterion time, and take note of the time exceeding the criterion time as follows.
  • Fixed → Overtime hours
  • Extra hours → Overtime hours
  • Fixed late night hours → Late night overtime hours
  • Extra late night hours→ Late night overtime
Depending on the settings, "Late-night" may be displayed for late night and outside late night hours. In this case, the time that exceeds "late night" is counted as "late night overtime hours".

Work day type From “Weekdays”, “Legal time-off”, and “Non legal time-off”, check the box depedning on type of work days. Compare the total time of the selected work day for one week or one month with the standard time, and take not the time exceeding the standard time as overtime hours.

*If you do not use the legal/non-legal overtime function, the target work day type will not be displayed. Internal settings are required at the support center.

* From February 2019, "Weekdays" and "Legal time-off" have default checks on the new creation screen.
Overtime calculation method If you set more than one target item after the weekly total or monthly total of the target item exceeds the criterion time (for example, fixed and overtime), select how to record the overtime hours. The overtime calculation method for variable working hour is performed as follows.
  • Add up in chronological hours: Overtime is calculated according to the days of work and the earliest time of the week.
  • Add up extra hours first : Overtime is calculated from the last non-scheduled time within the set period.
  When performing overtime settings, if multiple target items occur on the day when the weekly total or monthly total of the target items exceeds the criterion time (fixed and late-night etc.), select which one is preferentially treated as overtime. To do. The priority can be set when two or more "Target items" are selected. The overtime work on the day when the standard time is exceeded is calculated as follows.
  • Do not set priority (standard): Overtime hours are counted according to the elapsed time on the work day.
  • Set priority: Overtime hours are counted according to the set priority .
If you select based on chronological order and the priority is hidden, it will be accounted as "Do not set priority (standard)".

*Displayed only when the priority is set in the modified labor settings before February 2019.

*If you change the calculation method for overtime hours to "Latest non-scheduled", the priority order will be hidden. If you select [Latest non-scheduled] and [Save], the priority order will not be displayed even if you select [Account in time series].
What is priority?
For example, if you work for 3 more hours and the working day exceeds the standard time and you have 2 hours of regular working hours and 2 hours of midnight working hours, 1 hour will be treated as overtime. , Select which working hours the hour will be generated from.

Example 1) When "Late night > Not specified> Selected"
If the fixed time and late-night occur on the day when the standard time is exceeded, the late night hours is given priority overtime. In this case, it is counted as "Late-night overtime".

Example 2) "Fixed > Non-scheduled> Late night
If the fixed time and late-night occur on the day when the standard time is exceeded, the specified working time will be given priority overtime.

*Customers whose late night hours are divided into fixed late night and extra late-night  will be prioritised from fixed, extra hours, fixed late-night, and extra late-night hours.

 

Weekly unit

Item name Description
Variable Working Hours Type Please select from the following two items.
  • “Fixed”……Select when the base time of the week is fixed every week.
  • “Flexible”……Select if you want to change the criterion time every week. The criterion time for each week can be set by clicking the [Set weekly criterion ime] button. * In the week where the weekly criterion time is not set, the setting value of the next section "Criterion time" will be applied.
Criterion time Set the criterion time for the week. If the time set here is exceeded, it will be posted as overtime.

If you select "Count work overtime as overtime", the scheduled work time for one week is automatically calculated from the registered schedule and used as the standard time. If the schedule is less than the criterion time, you can select whether to work overtime when the schedule time is exceeded or overtime when the reference time is exceeded.
Standard time per week If the modified work type is "Flexible", set the work critera time for each week using the [Set weekly reference time] button.
Wk. closing date It can be set from the "Basic information" category> Detailed item "Wk. Closing Date" in the employee type settings screen.
Aggregate range Set the calculation method when one week spans months.
  • From the beginning of the month to the end of the month : The aggregation range is from the beginning of the month to the first week of the following month.
  • Include previous month : Includes one week including the last week of the previous month.
Per diem This can be checked when "From the beginning of the month to the end of the month" is selected in the aggregation range. At the end of the month or the first week of the month, which is less than 7 days a week, the criterion time is divided by the number of days in the week, and the reference time is adjusted according to the number of calendar days.

 

Monthly

Item name Description
Variable Working Hours Type Please select from the following two items.
  • Fixed: Select when the monthly reference time is fixed monthly.
  • Flexible: Select if you want to change the reference time every month. The reference time for each month can be set with the [Set monthly reference time] button. In the month in which the monthly reference time is not set, the setting value in the next section "Criterion time" is applied.
  • Flex: Select when using the flextime system. The reference time setting is the same as when "Variation" is selected.
Criterion time

If the variable work hour type is "fixed", enter the monthly reference time.

If the modified work type is "Variable" or "Flex", the reference time for each month will be the reference time for the month in which no entry has been made.

 

If the modified work type is "Variable", the item "Use the legal time of one month transformation (base time of the week x number of calendar days / 7) as the reference time" is displayed. The legal reference time for each month is automatically calculated and used as the reference time.

Replace the "base time of the week" in the formula with "40 hours". For example, if the number of calendar days is 31 days, 40 x 31/7 = 177.1428 ...... = 177.1 hours (the second decimal place is rounded down). The reference time will be 177.1 hours.

* If the time display format is 60-ary, the decimal point will be changed to 60-ary.

 177.1 → 177.06 (177 hours 6 minutes)

For the calculated reference time, see Time Card> "Reference Time".

 

If you select "Count overtime when work exceeds schedule time", the scheduled work time for one month is automatically calculated from the registered schedule and used as the standard time. If the schedule is less than the criterion time, you can select whether to work overtime when the schedule time is exceeded or overtime when the criterion time is exceeded.

Standard hrs per month If the modified work type is "Variable" or "Flex", set the base time for each month with the [Set Monthly Base Time] button.

 

Yearly

Item name Description
Start month Set the start month of the aggregation range.
working time If the legal working hours are exceeded, they will be counted as overtime hours.
Monthly working hours Set the "number of holidays", "working hours" and "specific period" for each month.

 

Aggregate results

The following totals are added to the "Overtime hours" and "Late night overtime hours" of the aggregation items.

  • Overtime total of days> Working hours exceeding "overtime start time"
  • Overtime recorded by monthly variable work hour
  • Overtime recorded by weekly variable hours

If you select "Variable labor type: Flex", the item of "Flex time aggregation" will be added to the time card screen.

 

If you want to check only overtime recorded by modified work, select Menu > Export/Import > Output layout of “Monthly data [CSV]” and select “Variable work overtime hours”, “Variable late night overtime hours”, and “Standard work hours ( You can select "Monthly)" item.

 

You can export the time aggregated by "Variable Labor Type: Flex" in the "Flex Labor Standard Time", "Flex Standard Labor Hours", "Flex Non-Standard Labor Hours", and "Flex Extra Hours".
