What is a "schedule pattern"?

* Currently, there are two types of vacation acquisition methods: vacation pattern usage type and leave type usage . The settings differ depending on which method you are using, so first check the article below to see which one your environment corresponds to.

The default when issuing an account after June 16, 2020 is "Use leave type setting".

When using vacation method "use pattern"

Schedule pattern type

There are three types of schedule patterns, each with different functions.

Item name Description
Normal work pattern Create the pattern of regular/normal scheduled work time.
By setting the scheduled time, it is possible to detect late-in and early-out.
You can also set the scheduled break time.
Discretionary work pattern Even if there is no time record data, it will be counted as if recorded at the scheduled time.
It is suitable for totaling out of office and business trips.
All-day vacation pattern

The day is considered leave and the number of days taken for leave is counted.

Register the created schedule pattern on each applicable day of each employee from the menu below.

 

  • Settings > Schedule > Auto schedule setting
  • All menus > Schedule management

Settings

From " Settings"> Schedule > Pattern settings on the home screen, make new registrations and edits.

 

[Create new]

Register a new schedule pattern.

 

[Edit]

Edit the registered schedule pattern. Even if you change the contents of the schedule pattern used in the past work data, the past data will not be recalculated.

 

To reflect the changes in the past work data, recalculate the attendance data .

 

[Delete]

Delete the schedule pattern. The schedule pattern assigned as the schedule for the future day cannot be deleted, so cancel the registration before deleting it.

 

Even if you delete a pattern, the schedule and aggregation results for the days when the pattern was applied in the past are maintained.

Click [New Registration] or [Edit] to open the registration screen. After entering the information, click the [Edit] button to save the settings.

1. Setup items for normal work pattern

Click the [Details] button in the upper right of the category to expand the detailed items.

 

Basic information

Item name Description display
Schedule pattern code Set the code that identifies the pattern. Please enter 3 to 10 alphanumeric characters.
  • The schedule patterns are listed in ascending order of code.
  • Can I treat working hours before work as overtime?
Basic
Pattern name Set the pattern name. Please enter within 20 characters.
*If double-byte/half-byte characters are mixed, they may not be displayed correctly when outputting to PDF.
Basic
Schedule type Select "Normal work". Basic
Pattern color Select a pattern color. You can set the background color and text color respectively. It is used to display colors on patterns on the schedule management screen. Basic
Divisions that will be applied Set the department/division that can use this schedule pattern.

Employees who are not set are restricted from being able to assign the pattern. In addition, employees who are not set up cannot refer to the pattern.

Schedule

Scheduled to clock-in(core time start time) Enter the scheduled work time. If you go to work later than this, you will be late. Basic

Even if the work is stamped before the work start time limit, the working hours will be recorded only from this time limit.

* How to take full-day leave Displayed only in the "Use leave type" environment.
  • Schedule attendance and departure:
    Scheduled time of arrival and departure is recorded as deemed leave time. If you select this, be sure to enter "Scheduled to work" and "Scheduled to leave" in the pattern.
  • Record discretionary working hours:
    Use this when the scheduled time for attendance and departure (core time) does not match the discretionary leave time, such as for flex work, which records deemed working hours.

Half-day work

Item name Description
Add AM work pattern
Set the schedule for morning work when you get a half day off in the afternoon. You can set a work schedule and breaks separately from all-day work days. This schedule is applied when "PM leave" is set in "Half day vacation" of the day.
  • On the registration screen, "Working hours without a break for half an afternoon": Enter this if you want to count as half a day's work and add to the specified hours when you get a half-day leave.
Add PM work pattern
Set a schedule for afternoon work when you get a half day off in the morning. You can set a work schedule and breaks separately from all-day work days. This schedule is applied when  "AM leave" is set for "Half day vacation" of the day.
  • On the registration screen, "Working hours without a half day off": Enter if you want to count as half-day vacation and add it to the specified hours.

Advanced features

Click the category name to expand the setting items.

Force settings of workday type
You can select the work day type (weekdays/legal time-off/non-legal time-off) that is forcibly set when this pattern is applied.
Time zone
* This is displayed when the "Time zone type setting function" is used in Settings> Options and the time zone type is registered in Settings> Schedule> Time zone type settings.

You can select the time zone indicator that will be forced when the pattern is applied.
Substitute work * This is displayed when you have set the allowance for leave in Settings> Schedule> Leave type settings.

You can select the type of leave that will be granted depending on the working hours when the pattern is applied.
Time record/
No schedule
*Settings> Options> "Error work settings" category> "Displayed" is displayed for "With/without time record ".

If you do not make an error entry when you do not enter the time and attendance schedule, this pattern will not result in an error even if you do not enter the time and attendance schedule.
Remark Enter a description for this schedule pattern. This is displayed in "Available schedule pattern" in the operation menu when logging in to the employee screen (time card) with a PC.

2. Setting items for discretionary work patterns

When registering a new pattern, select "Direct visit (discretionary clock-in)", "No-return (discretionary clock-out)" or "Direct/No-return (discretionary clock-in/out)" in the schedule type .

 

Other edit items are the same as when creating the "normal work pattern".

If you select this schedule type, "Clock-in schedule (Core time Start time)" cannot be set. No clock-in is required on the day the direct pattern is assigned. Please only clock-out when leaving the office.
No-return
(Discretionary clock-out)
Even if there is no time record, it will be counted as if it was recorded at the scheduled time.

If you select this schedule type, it will not be possible to set the "clock-out schedule". You do not need to clock-out when leaving the office on the day you assign the no-return (discretionary clock-out) pattern. Please only clock-in work.
Direct/No-return
(Discretionary clock-in/out)
Even if there are no clock-in/out, it will be counted as if it was recorded at the scheduled attendance time.

It is suitable for work days such as "business trips" where clock-in/out is not possible. When this schedule type is selected, "Clock-in schedule" and "Clock-out schedule" cannot be set. No attendance is required on the day you assign the pattern. The d iscretionary working hours will be counted.

3. Setting items for all-day leave pattern

When registering a new pattern, select "All day vacation" in "Schedule type". The setting items displayed at this time are as follows. Other items are the same as the regular work pattern.

 

Leave information

Item name Description display
Vacation unit Set the vacation unit.
・All-day leave: You can take one day leave
Select this except in special cases.
・All day (half day x 2): Take a day off in the morning, get a day off in the afternoon, etc.
Get 0.5 different vacations each day
You can create patterns .
・Half day: The day to which this pattern is assigned gets 0.5 days as leave.

*Used when you take a day off from the shift where you only work in the morning.
(Example: Saturdays> 9: 00 ~ 12: 00 half day work. → I take a day off to take 0.5 days of leave. No work.)

Since it is a schedule that does not require work at all and will only be taken during leave, it is not possible to keep a record of time record.

If you want to get a half-day leave on the day you work,"Please select " Half-day". You do not need a half-day vacation pattern except in special cases.
Basic
Leave type Set the vacation indicator that counts the number of days when you assign this pattern.

You can create vacation categories in Settings> Schedule> Leave type settings . In the initial state, there are three types of vacation categories: "Paid leave", "Compensatory leave", and "Absence", but if you want to manage other leaves, please create a new one.

Discretionary
Working hours
On the day of registering the all-day leave pattern, the number of leaves taken is recorded and
"Discretionary working hours" can be added to the specified hours.

If you want to add the discretionary working hours, enter the hours in this item.

If you check Regard "Daily contract hours x 0.5 (round up)" applied to every Employee type or Employee as Discretionary half-day vacation work hours, it will be regarded as "daily contract hours per day". This will override any apparent working hours that you enter numerically.
