Is there a feature that encourages the 5 day mandatory annual leave?

1. Functional overview

If paid holidays are granted for 10 days or more, employees who have not fulfilled their obligations to take paid leave will be confirmed and a warning will be issued.

Glossary

  • Base date : The day when paid holidays are granted for 10 days or more.
  • Obligatory acquisition period : Within this period, it is necessary to take paid holidays for the number of obligatory acquisition days.
  • Obligatory acquisition days : The number of paid holidays that are obligatory to acquire within the obligatory acquisition period.
  • Warning period : The period during which a warning is issued to employees who have not fulfilled their acquisition obligations. You can set how many days before the end date of the acquisition obligation period to issue a warning.

 

Target paid holiday acquisition data

The calculation of "acquisition for 5 days or more" includes acquisition in 1-day or half-day units. Does not include acquisition on an hourly basis.

2. Preferences

1. Settings > Others > Work style reform related settings >Click the [Obligation to take paid holidays 5 days a year] tab.

 

2. In the "Warning for obligation" item , enter the number of days before the end date of the acquisition obligation period and click the [Register] button.

 

For example, if it is set to [60] days before, the warning period is 60 days before the end date of the acquisition obligation period ( August 2 if the end date is September 30)...

3. Confirmation of warning target

* This operation can only be performed by a master administrator or a general administrator whose "achievement / stamping" authority is "△ viewing only" or higher.

 

All menus > Work style reform > You can check the details on the [Obligation to take paid holidays 5 days a year] tab . Select " Display contents" and click the [Display] button.

About "display contents"

  • Not acquired : Employees who have not met the acquisition days and have passed the warning date
  • Not acquired (before warning date) : Employees who have not met the acquisition days but have not yet reached the warning date
  • Acquired : Employees who have met the number of acquisition days

 

About each item

  • First reference date : The day when 10 days or more of paid holidays are granted.
  • Second base date : If paid holidays are granted less than one year after the first grant, that day will be the second base date.
  • End date : The end date of the acquisition obligation period.
  • Number of days acquired: The number of days that paid holidays have already been acquired within the acquisition obligation period. Includes daily or half-day acquisitions. Does not include acquisition on an hourly basis.
  • Scheduled acquisition days : The number of days for which acquisition is obligatory within the acquisition obligation period.

4. Alerts, notifications

If there are employees who do not meet the acquisition days, you can be notified by displaying an alert or email notification. I will explain each of them.

 

Display alerts for "processes that need to be dealt with"

Top of management screen> Alerts are displayed for processes that require action.

To display the above alert, Settings> Others> Options> Schedule settings category> Paid leave grant function must be set to [Use].

 

Is it possible to turn off the "5 days a year paid holiday acquisition obligation function"?
It is not possible to turn off the "5 days a year paid holiday acquisition obligation function". If you want to stop using this function, you can leave the number of days of "Warning for obligation" blank so that the alert will not be displayed in "Processing that requires action".

5. Concept of record date, obligatory acquisition period, and obligatory acquisition days

Let me explain with four examples.

[1] When granting 10 days or more once a year

If you give 10 days or more once a year, the behavior will be as follows. The same result can be obtained for both " manual grant " and " paid leave grant function ".

  • Base date : Paid holiday grant date
  • Acquisition obligation period : 1 year
  • Obligatory acquisition days : 5 days

 

In the above figure, it is granted on October 1st, 10th. The record date is October 1, the acquisition obligation period is one year from October 1 to September 30, and the acquisition obligation period is 5 days.

 

[2] When granting 10 days or more ahead of schedule

If you "manually grant" when you join the company and reject the first grant by the "paid leave grant function" six months later, the behavior will be as follows.

  • Base date : The date given 10 days or more ahead of schedule
  • Acquisition obligation period : 1 year from the record date
  • Obligatory acquisition days : 5 days

 

In the figure above, the "manual grant" on the 10th is performed on the day of joining the company (April 1), and the grant by the "paid leave grant function" six months after joining the company (October 1) is rejected. The record date is April 1st, the acquisition obligation period is one year from April 1st to March 31st, and the acquisition obligation period is 5 days.

 

[3] When granting less than 10 days ahead of schedule

If you "manually grant" less than 10 days at the time of joining the company and then grant the remaining days using the "paid leave grant function", the behavior will be as follows.

  • Base date : The latest grant date between the days when the total number of days is 10 days or more
  • Acquisition obligation period : 1 year from the record date
  • Obligatory acquisition days : 5 days

 

In the figure above, 5 days are given by "manual grant" on the day of joining the company (April 1), and 5 days are given by "paid leave grant function" half a year after joining the company (October 1). The record date is October 1, the acquisition obligation period is one year from October 1 to September 30, and the acquisition obligation period is 5 days.

 

[4] When the "paid leave grant function" grants 10 days or more twice within one year

If 10 days or more are granted twice within one year by the "paid leave grant function" ( ), the mandatory acquisition period will be extended and the number of mandatory days will be increased according to the extension ratio.

  • Base date : The first grant is the "first base date" and the second grant is the "second base date".
  • Acquisition obligation period : From the first record date to one year after the second record date.
  • Obligatory acquisition days : Calculated as "Obligatory acquisition period (◯ months)" ÷ 12 x 5.

 

In the figure above, it is granted 10 days on October 1st and 11 days on April 1st within a year. The first record date is October 1, the second record date is April 1, the acquisition obligation period is 18 months from October 1 to March 31, and the acquisition obligation days is 7.5 days ( calculation formula: 18 ). Month ÷ 12 × 5 = 7.5 ) .
