What settings are required to correctly calculate the "attendance rate" when granting paid leave?

This article will explain the essential settings for correctly calculating the "attendance rate" when granting paid leave.

Preset

Settings > Employee > Employee type settings > [Edit] of the applicable category > Leave type> Paid leave grant > [Paid leave grant related settings] > 1. Please set the number of fixed working days per week (required)

 

If you select "X days" in the above item, the condition for granting paid leave is that the attendance rate is 80% or more. If the attendance rate is less than 80%, the number of days granted will be calculated as 0 days.

1. Set working days and all working days correctly

The attendance rate is calculated based on the table in the menu below.

 

Settings > Employee > Employee type settings > [Edit] of the applicable category > Leave type > Paid Leave Grant > [Paid Leave Grant Related Settings] > 5. Please set the number of working days and total working days that will be the basis for grant calculation.

The list includes "weekday work days", "legal holiday work days", "non-legal holiday work days", and "number of days taken for each leave (*)” is displayed, so check the items to be counted as “working days” or “all working days”.
* Leaves that exist in the leave category setting will be displayed in the list.

 

The formula for calculating the supplemental
attendance rate is: working days / total working days x 100.

 

The details of "working days" and "all working days" are explained below.

 

Set working days

A working day is the number of working days out of the total number of working days in the calculation period.

 

As for the number of working days, we count the days when there is a clock and the days when the assumed work pattern such as going straight home is assigned. Regarding the number of days of leave taken, the days on which leave is taken with a check mark in "Work days" are counted. It does not include the days on which you work in error.

 

In accordance with the Labor Standards Act, the following items are checked by default when an account is issued in this system, but they can be changed, so please check your company's work rules before registering.

The working days for calculating the attendance rate when paid leave is granted are stipulated by the Labor Standards Act as follows.

・Days worked on holidays are not included in working days
・The days you arrive late and leave early are included in your working days.
・Include the following days in working days
 - Days of annual paid leave used
 - A day on which a woman before and after childbirth takes leave in accordance with Article 65 of the Labor Standards Act
 - Date of childcare/nursing care leave required by law
 - Days off due to medical treatment for work-related injuries or illnesses

 

Set all working days

The total number of working days is the total number of days during the calculation period minus the number of holidays stipulated in the rules of employment.

 

As for the number of working days, we count the days when there is a clock and the days when the assumed work pattern such as going straight home is assigned. Regarding the number of days of leave taken, the number of days on which leave is taken with a check mark in "All working days" is counted. It does not include the days on which you work in error.

The total number of working days for calculating the attendance rate when paid leave is granted is stipulated by the Labor Standards Act as follows.

・Exclude the following days from all working days
 - Days on which the employee worked as a holiday (statutory holiday)
 - Days closed due to the convenience or responsibility of the user
 - A day on which the worker is made to work on a day that is a holiday under the work rules (non-statutory holiday)
 - days not worked due to legitimate strikes or other legitimate protests;

2. Enter your timecard correctly

In order to calculate the attendance rate correctly, it is necessary to correctly enter the clock data and leave taken on the time card.

 

In particular, please note that the attendance rate cannot be calculated correctly unless "absentee leave" is assigned to the day on which there is no remaining paid leave.

 

Calculation example

We will explain how to calculate the weekly attendance rate of the following timecard with the default settings for working days and all working days .

*Actual attendance rate is not calculated for the one-week calculation period.

in this case,

Working days: Work on weekdays (3 days), number of paid holidays taken (1 day) → 4 days

All working days: Work on weekdays (3 days), days of paid leave (1 day), days of absence (1 day) → 5 days

The attendance rate is 80% (4 working days / 5 total working days x 100).
