Can I set up leaves that can only be taken within a certain period?

It can be set.

 

For example, if you want to give an employee a two-day summer leave that can be used between July and September , and apply for approval from the employee, please use this.

This setting is required only when the leave acquisition method uses patterns.

Please check this article to see which one your environment applies to , and then proceed with the settings.

* 2 As for the method of applying for vacation, the method of taking leave differs depending on whether the pattern is used or the leave division is used.

 

Leave type setting

First, create a leave type.

 

Settings > Schedule > Leave type settings > Click “New registration”.

Set each item according to the work regulations and click [Register].

Below is an example of a two-day summer vacation that can be used between July and September.

 

  • Name (required) ... Summer vacation
  • Half-day vacation ...Apply
  • Leave Balance Adjustments ... Subtraction (Select "Subtract" to check the number of remaining leaves and the number of days taken.)
  • Grant substitute time-off ...No increase or decrease
  • Allow negative number  ... ✓ If your leave less than 0 days, you will not be able to get it.
  • Effective period ... "After" 3 months (By granting on July 1st, the expiration date can be set from July 1st to September 30th.)
  • Leave Expiry Period ... ✓ None
  • Leave By Hours ...not used
  • Image upload for Leave Application request ...Not required

Pattern setting

Next, set the pattern.

Click Settings > Schedule > Pattern settings > "New registration".

Enter each item and click [Register].

 

Basic information

  • Pattern code ... Enter 3 to 10 single-byte alphanumeric characters.
  • Pattern name (required) ... Please enter within 20 characters.
  • Schedule type ... Please select "Full time vacation" for the vacation schedule.
  • Pattern display color ... Set the pattern display color.

 

Leave information

  • Vacation Unit ... Select the vacation unit when the pattern is used. (In the leave type setting, it is set to use half-day vacation: but it is a pattern to use even for all days, so select "all days".)
  • Vacation indicator ... Select the corresponding vacation indicator.

Grant of leave (administrator)

Once you have created a leave type, you can give it to employees so they can take it. This operation requires "view/edit" permission for employee settings.

 

1. Open All Menu> Schedule> Leave Management.

 

2. In addition to the division and employee type, select one "leave type" and click [Display].

 

3. Click the [Edit schedule] button.

 

4. Change the leave grant date according to the display conditions specified, and click the [Display] button again. Be sure to confirm that the grant target date in the upper left is the designated grant date.

 

5. Enter the number of days you want to grant in "Number of days to increase/decrease". If you want to give the same grant to all the displayed employees , enter a number in the top row (on the right side of the copy at once) and then click the [Copy] button. This will copy the same number of days granted to all the displayed employees.

Click on Copy and the same number of days will be entered.

 

6. Click the [Register] button to complete the grant. As for the method of granting the number of remaining leaves, there are other methods such as the one-time granting on a specific date, which was introduced here, as well as CSV data import, etc. for each employee. Apply for leave (employee)

The application method differs depending on whether the leave type uses the pattern or the leave type.

 

・ When using patterns

After being granted by the manager, employees can apply for leave.

 

1. Employee login> Click “Schedule application” for the desired leave application date.

 

2. Work data edit screen> Select a pattern and click [Schedule application]. (If the application message is required, please enter the application message as well.)

 

3. Once approved by the administrator, it will be reflected in the timecard schedule.

 

・ When using leave type

After being granted by the manager, employees can apply for leave.

 

1. Employee login> Click “Schedule application” for the desired leave application date.

2. Work data edit screen > Schedule edit > Leave type > Select the relevant leave and acquisition unit, and click [Schedule request]. (If the application message is required, please enter the application message as well.)
